One of the most common questions we hear from organisations using Microsoft 365 is:
“How do I know that I’m looking at the latest version of a document?”
It’s extremely frustrating when you’re trying to do your job and can’t find the right document. And even more frustrating when you realise you’ve been working with outdated information.
If you can relate, it’s time to look at two things:
- How well your organisation has set up governance and structure for its sites.
- How confident your staff are in using the tools available to them.

Below, we go through our top tips for better file governance and the tools you can use to make searching for the latest files a lot easier.
How to create a well-governed SharePoint site
The most reliable way to ensure everyone is accessing the latest version of a document is to publish official documents in a central, well-governed location. For example, a SharePoint communication site.
Centralised libraries
Create centralised libraries for all current, approved versions of policies, procedures and key documents, and make them read-only for most users so nothing gets accidentally overwritten.
Libraries should be structured using folders or metadata to help navigation and ensure searching for content is easy.

Controlled publishing
Document authors should work on drafts in Work-in-Progress (WIP) areas. This can be done within Teams or SharePoint sites.
It’s often a good idea to archive older versions in a separate library that’s excluded from search results.

Version indicators
Add a version table inside Word, PowerPoint and Excel documents (or at least a clear version number in the filename) to help provide clarity on the progress of the document.
How to find files in SharePoint
When you’re trying to make sure you’ve got the right version of a document, there are three main approaches people use in Microsoft 365 – navigation, search, and Copilot.
But first, there are two golden rules to make sure you’re looking for the latest version of your document:
Check the modified date
If you’re browsing a document library or Teams channel, the Modified date is your best clue to whether it’s the latest version of a file. You can create a custom view that ignores folders and sorts files by Modified date.

Look at its location
A file saved in a Published area (e.g., a Communication Site or Policies site) is almost always the official, correct version. A file in a WIP area (e.g., Teams channels, department sites, draft libraries) is usually still being worked on.
Use an AI assistant
If your organisation has access to Copilot Premium or SharePoint Agents, AI can assist you with finding the latest version of the file.
Copilot can find content based on location, filename and Modified date and be configured to show only the most recent approved version of each document.
However, it is always important to check things like the Modified date, version numbering and whether it’s in your official content library and not a WIP folder before assuming AI is correct.

Filtering content within SharePoint libraries
Filtering allows users to quickly narrow down documents by attributes such as modified date, policy owner, or expiry date, helping them focus on the most relevant files. These tools make it easy to reorganise information ‘on the fly’ and surface exactly what you need without changing the underlying structure of the library.

Custom views within SharePoint libraries
Custom views let users save their preferred combinations of filters, sorts, and columns, creating reusable perspectives tailored to different tasks or audiences. By turning ad‑hoc sorting and filtering into a named view, teams can maintain consistency and ensure everyone is working from the same structured, curated display of library content.

Conditional formatting
