- Select Add column and choose Date and time.

- Tap Save.
You can now assign review dates to individual files – either one at a time or in bulk using the Edit in grid view option. This simple step makes it clear when each document is due for review.

Tip: Colour coded review dates
To make review schedules instantly visible to everyone, you can add conditional formatting to your Review Date column.
This works largely in the same way as conditional formatting in Excel.
- Tap the arrow next to the Review Date column you just created.
- Select Settings, then Format column and choose Conditional formatting.
- Create a rule for when the Review Date is before today (to show overdue items in red).
- Add another rule for when the Review Date is after today (to show current items in green).
- Tap Save.
Now, anyone can glance at the library and instantly see which documents are up to date, which need attention, and where action is required.
How to get email reminders about documents in SharePoint
Manually checking review dates can be time-consuming, especially when policies are spread across departments.
Instead, set up automated email reminders in just a few clicks:
- In your document library, select the three dots (…), then Automate, then Flows.
- Choose Set a reminder.
- Select Review Date as the trigger.
- Specify how long before the due date you’d like to receive a reminder (e.g. two weeks, one month).
- Tap Create.

- Select Add column and then Person.
